Unitrans, a leading provider of supply chain and logistics services in Southern Africa, is currently seeking to appoint a qualified and motivated Administration Officer II for its Consumer Division (RCL Milling contract) based in Pretoria, Gauteng. Position Overview

The Administration Officer II will work under general supervision and will be responsible for performing a variety of clerical and administrative duties in support of operational teams. The role involves compiling and arranging data, processing documents, maintaining records, and ensuring that all administrative systems are kept accurate and up to date.

The successful candidate will play an important role in ensuring smooth daily office operations and maintaining effective communication between internal departments and clients.

Key Responsibilities

  • The duties of the Administration Officer II will include, but are not limited to, the following:
  • Ensuring that Proof of Delivery (POD) documents are completed daily
  • Collecting and verifying PODs and trip sheets from drivers
  • Confirming that trip numbers are correctly recorded on all PODs
  • Uploading PODs onto the electronic system and retaining the necessary copies and supporting documentation
  • Liaising with clients regarding completed PODs and delivery documentation
  • Recording POD information accurately in schedules or registers
  • Maintaining daily filing systems in numerical and orderly sequence
  • Performing general office duties such as copying, filing, faxing, and data capturing
  • Answering telephone calls and providing reception support when required
  • Taking minutes during meetings when necessary
  • Ensuring that all files and records are updated and properly maintained
  • Verifying that trip sheets are signed daily
  • Compiling daily hours worked for staff members
  • Preparing weekly input for wage and payroll processing
  • Monitoring and administering staff leave records
  • Updating and maintaining internal administrative records
  • Assisting staff members with administrative queries
  • Ensuring professional customer service and positive client relations during daily interactions

 

 

Minimum Requirements

  • Applicants wishing to be considered for this position must meet the following criteria:
  • Grade 12 / Matric (NQF Level 4)
  • Higher Certificate or Advanced Certificate (NQF Level 5)
  • Up to three (3) years’ experience in a similar administrative or clerical role
  • Basic computer literacy and the ability to work with electronic systems
  • Good communication skills, both written and verbal
  • Strong organisational and record-keeping abilities

Employment Conditions

This is a permanent, full-time position within the Consumer Division under the RCL Milling contract. The role is based in Pretoria, Gauteng, and normal working hours will apply according to company policy.
