Job Description

The General Office Assistant provides essential support to the administration and operations team. This role focuses on keeping documentation accurate, scheduling tasks on time, and helping maintain efficient office operations. The ideal candidate is highly organised, able to handle multiple responsibilities, and has a strong grasp of Microsoft Office applications, especially Excel.

You will also work closely with vehicle auction platforms, compliance documentation, logistics coordination, and internal team support.


Key Responsibilities
Auction Listings & Documentation
  • Upload vehicle information (mileage, condition reports) to the Bid4Cars platform accurately.
  • Photograph vehicles for listing purposes.
  • Compare dealer trade-in valuations against market data.
  • Collect and verify NATIS registration documents.
  • Log all documentation into the tracking system for visibility and audits.
Financial & Handover Coordination
  • Generate invoices and confirm payment receipts.
  • Oversee the handover process, including vehicle keys, owner manuals, and compliance documents.
  • Maintain digital key control systems.
  • Conduct weekly audits of keys and handover documentation.
Logistics & Compliance
  • Coordinate vehicle movements between dealerships and branches.
  • File sales agreements, auction results, compliance certificates, and other supporting documents.
  • Ensure all records are stored both digitally and physically according to internal standards.
  • Keep an Operations Logbook updated with daily activities.
  • Assist in internal and external audits when required.

Minimum Qualifications and Experience
  • A Senior Certificate / Matric (NQF Level 4) is required.
  • 1–2 years of administrative experience, preferably in the automotive industry.
  • Proficiency in Microsoft Office, particularly Excel, is essential.
  • A valid driver’s licence is required.
  • Must demonstrate strong time management and organisation skills.

Key Skills and Competencies

  • Basic knowledge of filing systems (physical and digital) and document retention procedures.
  • Experience in managing scheduling, calendar coordination, and travel arrangements.
  • Familiarity with general office operations such as supply inventory and vendor liaison.
  • High accuracy in data entry, report generation, and spreadsheet handling.
  • Strong written communication and the ability to craft professional business correspondence.
  • Ability to handle sensitive data with confidentiality and security.
  • Flexible in adjusting to new tasks, priorities, and workload changes.
