Role Summary
The Receptionist serves as the first point of contact for patients, visitors, doctors, and other stakeholders entering the hospital. As the face of the facility, the successful candidate will demonstrate exceptional interpersonal and communication skills while ensuring a welcoming and professional reception experience.
The role includes greeting and assisting patients, managing admissions, handling phone calls, resolving queries, supporting patients with digital platforms such as the Netcare Mobile App, and performing various administrative tasks to ensure smooth front desk operations.
The ideal candidate is friendly, detail-oriented, proactive, and able to manage multiple responsibilities while maintaining professionalism and confidentiality.
Key Responsibilities
Patient and Visitor Reception
- Provide a warm and professional welcome to all patients, visitors, and stakeholders
- Direct individuals to the appropriate departments or wards
- Offer clear and helpful information regarding hospital services and procedures
- Maintain a calm and supportive atmosphere in the reception and waiting areas
Patient Admissions and Data Management
- Obtain and verify patient personal details, medical aid information, and insurance documentation
- Accurately capture and update information in the SAP system
- Ensure all required consent forms and terms and conditions are explained and signed
- Manage various admission types including emergency, direct, and online pre-admissions
- Verify authorisations and medical aid benefits, including co-payments where applicable
- Collect and record payments, deposits, or letters of guarantee prior to admission
- Ensure full compliance with hospital standard operating procedures
Maintaining accurate patient records is essential to ensure smooth clinical and administrative processes.
Financial Administration and Risk Management
- Receive and process payments via cash or card in line with policy
- Issue accurate receipts for all transactions
- Balance and reconcile payments daily
- Manage petty cash floats where required
- Collect required co-payments in accordance with medical aid benefit details
The Receptionist plays a key role in reducing financial risk by ensuring that all documentation and payment processes are completed correctly before admission.
Call Handling and General Enquiries
- Answer incoming calls professionally within three rings
- Identify the hospital and self clearly and courteously
- Transfer calls accurately and efficiently
- Record and relay messages appropriately
- Assist with telephonic and walk-in enquiries
Effective communication is central to this role, ensuring that patients and visitors receive clear guidance and support.
Maintaining the Reception Area
- Prepare the reception area at the start of each working day
- Ensure front desk operations are fully functional during business hours
- Maintain a clean, organised, and professional environment
- Monitor waiting areas and keep patients informed of any delays
- Adhere to dress code and uniform policies
A well-maintained reception area contributes to a positive patient experience and reflects the hospital’s commitment to quality care.
Confidentiality and Compliance
- Protect patient privacy at all times
- Handle sensitive information securely and in accordance with regulations

Education Requirements
Essential:
- Grade 12 or equivalent NQF Level 4 qualification

Work Experience

- SAP ISH experience
- Experience in a customer service-focused role
While hospital experience is advantageous, strong administrative and customer service skills remain highly important.
